How to plan your event budget

Set your total budget first, then divide it on paper before contacting a single service provider — it is the only way to compare offers seriously and avoid the surprises that force painful cuts mid-planning. Here is how budgets typically break down for Moroccan weddings and large family celebrations.

Venue and catering — 40 to 50%
The hall and the traiteur are your two biggest costs, often negotiated together. Lock this line first: whatever remains determines everything else.
Negafa, outfits and beauty — 10 to 15%
For a wedding, count the negafa, the bride's outfit changes, the amariya entrance, hair and makeup. Ask precisely how many outfits and changes are included.
Photography and video — around 10%
Good photographers are booked months ahead, and their work is what remains after the party. Ask for complete albums of real events, not just highlight clips.
Music and entertainment — 5 to 10%
DJ, traditional band or orchestra: fix the performance duration and the price of extra hours in advance.
Decoration and flowers — 5 to 10%
Concentrate the spend on what appears in photos: the entrance, the couple's table and the main hall.
Transport and extras — around 5%
Guest transport, the couple's car, small gifts. These details get forgotten, then they add up.
Always keep a 10% reserve
Guest counts move and extra hours happen. The reserve keeps you from improvising in the last week.

The planning timeline

The best service providers are booked up to a year ahead in high season (summer weekends and school holidays). Start from your date and work backwards.

9 to 12 months before: the date and the venue
Halls go first, especially in summer. Once the date and venue are fixed, everything else becomes simpler.
6 to 9 months before: the key service providers
Traiteur, photographer, negafa, band. They make or break the celebration, and they refuse last-minute bookings in peak season.
3 to 6 months before: invitations and details
Close the guest list, send the invitations, settle the decoration and transport.
1 to 2 months before: fittings and confirmations
Final fittings, menu tasting, and confirming the definitive guest count with the traiteur.
The last week: confirm everything in writing
One message per service provider: time, address, name of the contact person. Timing misunderstandings are the most common day-of problem.
The big day: delegate
Name one trusted person as the contact for all service providers. The couple and the hosts should not be answering the phone that day.

Questions to ask your service provider

Most problems between customers and service providers come from unspoken assumptions, not bad faith. Ask these questions before signing, and keep the answers in writing.

What exactly does the price include?
Insist on the detail: number of staff, hours of service, cleaning, tables and chairs. Anything not written down can be billed later.
What is the real capacity of the venue?
In the configuration you want (round tables, stage, dance floor), not the standing capacity from the listing.
What are the deposit and cancellation terms?
How much? Refundable? What happens if you change the date? Get the answer in writing.
Which extra fees can appear?
Overtime, additional staff, a generator… Ask for the price of each in advance.
Who will be my contact on the day?
A specific name and phone number, not “someone from the team”.
What is the backup plan?
Rain at an outdoor event, equipment failure, a missing staff member: a professional has a ready answer.
When do you need the final guest count?
And what happens if the number drops after confirmation? This clause weighs heavily on the bill.
Can I see a recent complete event?
A full album or past customers you can contact — not just the ten best photos.
